Agency AR templates
Polite overdue invoice reminder templates for agencies.
Overdue invoice follow-up is awkward because the relationship matters. The goal is not to sound aggressive. The goal is to be clear, calm, and consistent.
These are general business templates, not legal advice or escalation language. If an invoice is disputed, sensitive, very old, or tied to a fragile client relationship, pause and review it internally before sending anything.
Before sending any reminder
Is the invoice actually overdue?
Has the client already paid or promised payment?
Is there a dispute, service issue, or missing purchase order?
Is this contact still the right person?
Would this reminder sound reasonable if forwarded to the agency owner?
If any answer is unclear, do not automate. Review the account first.
Copy-friendly reminder templates
Template 1
Friendly nudge
Use when the invoice is only recently overdue or the client relationship is warm.
Subject: Quick reminder: invoice [invoice number]
Hi [name], Hope you’re doing well. I wanted to send a quick reminder that invoice [invoice number] for [project/service] was due on [due date]. If payment is already in progress, thank you — no action needed. If there is anything missing on our side, please let me know and I’ll help clear it up. Best, [your name]
Template 2
Status check
Use when the first reminder did not get a reply.
Subject: Checking on invoice [invoice number]
Hi [name], Following up on invoice [invoice number], which was due on [due date]. Could you confirm whether this is queued for payment, or if there is anything we need to resolve before it can be paid? Thanks, [your name]
Template 3
Firmer but still client-friendly
Use when the invoice is now materially overdue and you need a clear next step.
Subject: Payment status for invoice [invoice number]
Hi [name], I’m checking again on invoice [invoice number] for [project/service]. It is now [number] days past due. Could you send an expected payment date, or let me know if there is an issue holding this up? We want to keep the process simple and avoid unnecessary back-and-forth. Best, [your name]
